When you register your child with WDS, we may collect information including:

  • your and your child’s name and contact details;

  • your child’s date of birth;

  • emergency contact details;

  • booking, membership and attendance information;

  • payment information; and

  • any medical, access or additional support information relevant to your child’s participation.

We only collect information that we reasonably need to run WDS and support children safely.

2. How We Use Your Information

We use personal information to:

  • manage registrations and memberships;

  • communicate with parents and carers;

  • maintain class registers and attendance records;

  • manage payments; and

  • support children’s safe and appropriate participation in WDS activities.

Where you provide information about your child’s health, disability or additional needs, we only use this where it is relevant to supporting their participation and safety.

We use personal information where it is needed to provide the classes and services you have booked, to meet our legal and safeguarding responsibilities, for the legitimate interests of running WDS safely and effectively, or where you have given us consent.

3. Who We Share Information With

We do not sell your personal information.

We use trusted services to help us run WDS, including our website and registration systems and payment providers.

Relevant information may also be shared with WDS teachers or other people working with us where they need it to support your child’s participation safely.

We may share information where required by law or where necessary for safeguarding or in an emergency.

4. Photography & Filming

Consent for photography and filming is requested separately.

You do not have to consent to photography or filming for your child to take part in WDS.

5. How Long We Keep Information

We keep personal information only for as long as it is reasonably needed to run WDS, meet our safeguarding and legal responsibilities, and maintain necessary financial and administrative records.

Information that is no longer needed will be deleted or anonymised.

6. Your Information & Your Rights

You can contact us if you would like to see the personal information we hold about you or your child, correct information that is inaccurate, or ask us about how your information is being used.

Depending on the circumstances, you may also have rights to ask us to delete or restrict the use of your information.
